Exporting Your Reviewer Data to CSV
Building a mailing list is one of the most valuable assets for an author. RS ARC Manager makes it easy to take your reviewer data out of WordPress and into your favorite email marketing tools (like MailChimp, ConvertKit, or Excel).
This guide explains how to export your applicant list.
1. Why Export Data?
- Newsletter Growth: Add your approved reviewers to a special “Street Team” segment in your email list.
- Analysis: Open the data in Excel to analyze which reviewers are the most active across multiple campaigns.
- Backup: Keep a local copy of your team’s contact info.
2. How to Export
- Log in to your WordPress Admin.
- Navigate to ARC Campaigns > Applicants.
Option A: Export Everyone (All Campaigns)
If you want a master list of every person who has ever applied to any of your books:
- Ensure the “Select Campaign” dropdown at the top shows “Select Campaign” (meaning no specific filter is active).
- Click the “Export CSV” button located at the top-right of the table.
Option B: Export a Specific Campaign
If you only want the email addresses for a specific book launch:
- In the “Manually Add Reviewer” or filtering section, select the specific campaign you want to view (if available in your version’s filter options).
- Alternatively, the export function respects the current view.
- Click “Export CSV”.

3. Understanding the CSV File
The downloaded file will contain detailed information about your reviewers. The columns include:
- User Name & Email: Essential for your newsletter.
- Campaign: Which book they applied for.
- Status: Whether they are Approved, Applied, or Banned.
- Reputation Score: Their calculated reliability score (e.g., “90% (Super Fan)”).
- Review Links: Direct links to their Amazon and Goodreads reviews (if submitted).
- Social Data: Their Goodreads URL and social handles.
4. Pro Tip: Filtering for MailChimp
The CSV export includes all applicants (Approved, Pending, and Banned). Before importing into MailChimp:
- Open the CSV file in Excel or Google Sheets.
- Use the “Filter” feature in your spreadsheet software.
- Filter the “Status” column to show only “Approved” or “Review Submitted”.
- Copy these email addresses to your marketing tool.
This ensures you aren’t adding people you rejected or banned to your VIP email list.
